Accidents
- Transportation needs assistance at the scene when there are known injuries
- Follow procedures found in the UCPS Emergency Handbook
Activity Buses
- Use form for pre/post trip inspections for all drivers
- Trips out of State will only be supported by Transportation Services that are less than 300 miles round trip
- Effective July 1st, 2025, cost per mile will be $3.00 plus the cost of driver salary which is $26.00 per hour for all schools – cost subject to change September 30 of each school year
- Drivers must appear on the UCPS approved driver list and obtain appropriate CDL with school bus pocket card and maintain a current DOT Medical Card
- Schools will be charged for unnecessary trips for fueling and negligence-based damages/issues
- Activity buses are fueled at least twice a week – Fueling is available at the garage as well as upon request with 24 hours advanced notice

Bus Load Limits
- Drivers are not to operate buses when student loads exceed rated capacity Load Capacities
Daily Pre-Trip Inspection
- Required by all drivers; please notify us of any unsafe condition or cleanliness issues
Exceptional Children
- Transportation supports the need for all students to observe length of day requirements; please ensure teachers do not load students early in the afternoons
- Students should always be escorted by a staff member
Field Trips
- A minimum of two weeks to one month notice required to arrange for driver, bus, billing and trip details
- Requests must be entered into App Garden using web link for App Garden
- The driver must be listed on the UCPS approved driver listing as an approved driver
- Yellow bus field trips are available between the hours of 9:30 a.m. and 1:00 p.m.
- Additional cost for EC buses due to requirement of safety assistant
- Invoices are provided through Travel Tracker
- All payments for invoices are expected to be paid immediately
- Parents are NOT allowed to ride unless listed as an approved volunteer & cleared by HR

Idling Guidelines
- No school bus idling on campus with the exception of approved EC buses (students with medically approved IEP) or extreme weather conditions
- Please report violations to Transportation Services
EC Students on Regular Buses
- Some EC students may be transported with regular student population
School Bus Routes
- Bus stop information is available for Parents using the Edulog Parent Portal App; Schools may use WebSchool Assistant for accessing student bus information.

Target Arrival Time on Campus
- 15 – 30 minutes prior to scheduled bell time (breakfast) Bell Times 25-26
- Unload all students when bus arrives on campus (unless bus is unusually early)
- Some buses need to unload early to ensure on time arrival at 2nd & 3rd tier schools

1st Day Reminders
- Elementary Schools to tag all students (bus and car riders) during 1st few days of school
- Anticipate late buses during the 1st few days; prepare staff accordingly
- Prepare early in the day for those students that need alternate p.m. arrangements or do not have a ride
- Identify someone on staff to communicate with Hispanic students
- Accommodations for overcrowded buses will be necessary in select areas
- Transportation area offices open until last student is dropped off and buses are securely parked

Suggestions for Open House – 1st Week of School
- Have all parents download the Edulog Parent Portal App
- Print a listing of stop locations by bus #; students that do not have a bus assignment should request an assignment through the school office
- Use alphabetic Street Listing to assist parents with closest stop location
